Officer Responsibilities:

President Responsibilities
President’s Duties: A large portion of the President’s responsibilities involves the delegation of responsibilities to other officers. The President is burdened with the task of ensuring that every officer is fulfilling his/her responsibilities. All negatives and mistakes fall on the President, therefore ensuring everything is being executed properly and efficiently will avoid you any embarrassment or humiliation. The President shall remain professional at all times and accept the role as a liaison between the club and the University’s professors. The President shall quell any disputes between any members and/or officers. The President shall oversee that all funds are not being misused. The President shall answer any email or questions from any students. The President shall ensure that all guest speakers are treated graciously and professionally and ensure that they receive a thank you letter. Ensure that the membership roster is being constantly updated. Ensure that there is no changes to any policies that are contrary to the Constitution; to make such a change you must follow the guidelines stipulated within the Constitution.

Vice-President Responsibilities
Vice-President: The club must have at least one Vice-President. The Vice-Pres. In the absence of the President at any event, the Vice-President shall assume the duties of President and shall then report all activities and events to the President.

  • Keep a record with officers contact info (ph.#/email) and distribute to each officer
  • Create and hang up flyers for open meetings
  • Maintain database of MIS Club members and update when necessary
  • Collect all applications and update database with new apps
  • Collect sign-in sheet after each meeting/event and update database
  • Attempt to organize for a guest speaker
  • Attempt to organize a service project
  • Attempt to attend all officer and open meetings
BOBA Representative Responsibilities
  • Attend the monthly meetings of the Bureau Of Business Administration
  • Report any necessary news from the BOBA meetings back to the rest of the MIS Club
  • Serve as a liaison between the club and Margaret Van Brunt for any additional issues, tasks or events
  • Continually seek new opportunities to enhance club reputation within the College of Business and BOBA
Secretary Responsibilities
  • Assure that the Secretary takes accurate notes (minutes) and documents everything that is discussed. The Secretary shall document all pertinent information, such as guest speaker & topic, number in attendance, and any information that is discussed, within the minutes. The Secretary must immediately type the minutes and submit copies to SGA, MIS President, and must maintain a copy for him/herself. In the absence of the Secretary the President must designate another officer to take the minutes of the meeting. Failure to document or submit the minutes will adversely affect SGA Funding.
  • The Secretary must document all issues and include them in the minutes. The minutes must be submitted to SGA as soon as possible.
  • Confirm that the Secretary is submitting the minutes.
  • Fundraisers: Make certain that the secretary deposits the money in the clubs account immediately.
Treasurer Responsibilities
  • In charge of all the funds of the club
  • Fill out vouchers from the Student Government Association (SGA) office for reimbursements, deposits, and transfer of funds to other departments, etc.
  • Empty out MIS mailbox in SGA suite once a week
  • Attend the SGA Budget Hearing at the end of year where you request the budget for the following year. (Bring a detailed list of exactly what the club plans on spending/raising during the year)
  • Must attend all SGA and any other related financial meetings including the March budget meeting. Must sign all vouchers for any club related expenses including club reimbursements. The Treasurer must provide the President with a copy of all vouchers and must obtain a copy for him/herself. Upon competition of the voucher the Treasurer must immediately submit the vouchers to SGA. The Treasurer must also provide the President with all copies of any and all financial reports. The Treasurer is not to sign any vouchers without the approval of the President. The Treasurer is responsible for emptying the MIS mailbox located in the SGA office in the Student Center. He/She shall be a liaison between the club and the SGA Secretary.
Webmaster Responsibilities
It is extremely important to constantly update and maintain the club’s website. Make certain that the site contains at least the following:
  • Officers’ names and email links
  • Club Constitution
  • Dates of “Open Meetings”, Fundraisers, Service Projects, and any other events.
  • Instructions on how to become a members along with the club’s requirements to maintain a status of “Member in Good Standing”
  • Fundraiser and Service Project information
  • A link to Association of Information Technology Professionals (A.I.T.P.).
  • Meeting Minutes
  • Create and maintain web site that is welcoming and easily navigable to any visitor
  • Maintain updated versions of club mission, objectives, and officers
  • Post any additional documents that are necessary to have available for any member, such as Club Constitution and Member Application
  • Continually update web page with upcoming meetings and events open to all College of Business students
