RAH Co-Sponsorship Opportunity

Rowan After Hours (RAH) would like to offer your organization a unique opportunity to co-sponsor an event at RAH for little to no cost! It is a great way to get your organization’s name out to an audience you may not typically reach. RAH can co-sponsor with any SGA chartered or petitioning clubs, sports clubs, Greek organizations, or Rowan athletic teams whose event fits within the Rowan After Hours mission.

RAH can provide:

All co-sponsorships depend on the availability of space and resources. The earlier you submit your Interest Form, the more likely we will be able to accommodate your request. All RAH programs take place between the hours of 9:00pm and 1:00am on Thursdays, Fridays, and Saturdays and are always free to all Rowan Students with I.D.

Unfortunately, we cannot accept monetary or physical donations of any kind at Rowan After Hours. Co‑Sponsoring with Rowan After Hours does not earn your club a service letter or project.

Steps in Setting Up a Co-Sponsorship

  1. 1. Read about the three tiers below. Events are separated into tiers 1, 2, or 3 based on the type and size of the event, as well as the amount of effort necessary to make the event successful. The tiers description below explains the different types of events your group can co-sponsor with RAH. Review the tiers and choose the tier that best fits the needs of your group.
  2. 2. Fill out the Interest Form with more information about the proposed co-sponsored event, including which tier your group has chosen.
  3. 3. Within a week of submitting the interest form, a representative of RAH will contact you to set up a meeting and begin the planning process.

RAH Co-Sponsorship Tiers

Tier 1

Tier 1 events are small and typically pre-planned by RAH. This tier is best for groups who are looking for exposure, but don’t have a lot of time.

Types of Events

  • Host a Promotional Table (with information about your organization)
  • Host the Saturday Night Movie
  • Host the Food Bar
  • Host the RAH Craft

Organization's Responsibilities:

  • Complete and submit the Co-Sponsorship Interest form at least 3 weeks prior to the date you'd like to have your event.
  • Complete and submit a pre-event Contract during initial meeting with RAH.
  • Attend at least 1 pre-event meeting and 1 post-event meeting.
  • Provide at least 2 - 5 individuals from your organization help at the event for set-up and clean-up the event.
  • Compelete an Event evaluation and submit it within one week past the date of the event.

RAH will provide:

  • Programming and Event support
  • Venue, Tables, and Chairs (As Needed)

Tier 2

Tier 2 events require a little more planning and manpower in order to accomplish. They are a larger part of Rowan After Hours nightly entertainment and usually involved more interaction with more RAH participants.

Types of Events:

  • Host Casino Night
  • Host Bingo Night
  • Host a Game Tournament (Video games, Board games, Cards, etc.)
  • Host Your Own Craft

Organization's Responsibilities:

  • Complete and submit the Co-Sponsorship Interest form at least 7 weeks prior to the date you'd like to have your event.
  • Complete and submit pre-event Contract during the initial meeting with RAH.
  • Attend at least 2 pre-event meetings and 1 post-event meeting.
  • Provide at least 5 to 9 individuals from your organization to help set-up and clean-up the event.
  • Complete an event Evaluation and submit it within one week past the date of the event.

RAH will provide:

  • Programming and Event Support
  • Advertising - Facebook, Twitter, Rowan Announcer (Time Permitting)
  • List your Organization on Our Weekly Flyer and Pit Poster (Time Permitting)
  • List your Organization and Event on Digital Signage
  • Venue, Tables, and Chairs (As Needed)

Tier 3

Tier 3 events are for groups that are looking to host a major event. These events require a lot of planning, preparation, and hard work. Any organization wishing to plan a tier 3 co-sponsorship must first successfully plan and complete a tier 1 or tier 2 co-sponsorship with RAH and at least one member of each organization must attend one of our Tier 3 Co-Sponsorship Information Sessions. These sessions will be held in the Student Center, Room 129 on Wednesday, October 22nd at 4:30pm and Friday, November 21st at 3:00pm. Attending one of these information sessions is required of all tier 3 applicants, including organizations that have hosted a tier 3 event in the past. Tier 3 events are highly competitive so we urge interested organizations to plan ahead to attend one of these mandatory sessions and turn in their Interest Form before the deadline: November 30th for the spring and March 31st for the fall. All programs must fit within the Rowan After Hours mission and due to a limited availability, not all applicants will be selected.

Types of Events:

  • Full Themed Nights
  • Cultural Festivals
  • Competitions (Dance Off, Talent Show, Battle of the Bands)

Organization's Responsibilities:

  • Complete and submit the Interest Form by the last day of November for spring events and the last day of March for fall events. Submitting the Interest Form prior to these deadlines is highly encouraged.
  • Organizations are required to bring an Event Proposal Form and Budget Form to the initial meeting with Rowan After Hours. This form will be provided via email after the Interest Form is submitted.
  • Complete and submit a pre-event Contract during the initial meeting with RAH.
  • Attend at least 3 pre-event meetings and 1 post-event meeting
  • Provide 10+ individuals from your organization to help set-up and clean-up the event
  • Complete an event Evaluation and submit it within one week past the date of the event.

RAH will provide:

  • Programming and Event Support
  • Advertising - RAH Website, Facebook, Twitter, Rowan Announcer
  • List Your Organization on Our Weekly Flyer and Pit Poster
  • List Your Organization and Event on Digital Signage
  • List Your Organization on the OSA Semester Calendar
  • Contracting/Artist Negotiation
  • Venue, Tables, and Chairs (As Needed)

Once you’ve submitted your Interest Form you’ll head from us within a week to set up a meeting to discuss the details. At the meeting, be prepared to discuss and determine event logistics. You will develop and complete a Co-Sponsorship Contract that will detail each party's responsibilities.
