Accessing Your Phone Mail Mailbox

CallXpress Voice Mail

First Time Access
To access the system on campus dial 5999. The first time employees access the system, enter 0000 for the security code and students should enter the last 4 digits of their Rowan ID. Use the tutorial to set up your personal security code, name, and greeting. To access the system from off campus dial (856) 256-5999 and follow the previous steps to access your voicemail.

Retrieving your voice mail messages
Dial 5999 then enter your personal security code. Press 1 to listen to your messages. Press 4 to delete a message or 5 to save a message.

The RolmPhone System
Rowan University is on a digital phone system (as opposed to an analog system like the phone line in your home). With this digital system comes a variety of features that may be available to you.
 

Call Waiting - The phone system is capable of having two callers on the same line. If you are on the phone, and another call comes in, you will hear a beep and the Connect light will illuminate.

To switch to that incoming call (and put the original call on hold), simply press the Connect button. To get back to the original call, press the Connect button again. You can switch back and forth as many times as you want.

Conference - The phone system is capable of joining up to eight callers together. However, there can only be two off-campus callers, the rest have to be from on-campus. To setup a conference call:

    1. During a call, press the Flash key.
    2. Dial the next number.
    3. Inform the party that this is a conference call.
    4. Press the Conference key to join all the parties. Repeat as necessary.

Station Speed Calling - This lets you set up single digit codes for numbers you frequently call, letting you dial a single digit for a phone number.  To set or change a station speed code:

    1. Get dial tone.
    2. Press Speed Dial button twice.
    3. Dial the number on the keypad you want to program.
    4. Dial the extension number or 9 and then the off-campus number.
    5. Hang up.

Make sure you write down what key corresponds to which phone number.
To make a station speed call:

  1. Get a dial tone
  2. Press the Speed Dial key.
  3. Enter the Speed Dial number.

Callback Camp-On - Automatically calls you back with two long rings when the busy extension you are trying to reach becomes free. When you answer, you'll hear the extension you called begin to ring. To camp on a busy extension:
    1. Listen for the busy signal (a tone and then music on hold).
    2. Press Flash # 1.
    3. Listen for the dial tone.
    4. Hang up.
    5. Wait for the two long rings.

Call Forwarding - Lets you temporarily redirect your incoming calls to another extension.
To forward calls:

  1. Get a dial tone
  2. Dial # 9
  3. Dial the extension you want to receive your calls (like your secretary).
  4. Hang up. Your line light will blink quickly. This indicates your line is forwarded.
  5. To cancel the forwarding, get dial tone and press # # 9.

Please remember to unforward your calls when you return to your extension.

Call Pick-Up - Lets you answer a call on your phone that is ringing on any other phone, as long as you are in the pick-up group or you know the extension that is ringing. To pick up a call:

    1. Get dial tone
    2. Press the Call Pick-Up key and enter the extension number that is ringing.
    3. Or, if you are in the same pick-up group, press the Call Pick-Up key twice.

Transfer - Lets you transfer a call to another extension. To transfer a call:

    1. Tell the caller you are transferring them (obviously).
    2. Press the transfer key.
    3. Dial the extension number.
    4. Wait for the extension to ring and hang up.  If you enter the wrong number or the number is busy, you can get the caller back by pressing the Connect key.

Hold - To place a caller on hold, simply press the Hold key and hang up. To reconnect with the caller, press the line with the caller and pick up the receiver.

Adjustable Ring Tone - The phone system has 7 different pitches for the ring. This feature is especially by making it easier to recognize one phone from another.  To adjust the ring tone:

    1. Get dial tone
    2. Press * 5 7 2. The phone will start ringing at the pitch it is currently set to.
    3. Select one of the rings by pressing 1-7.
    4. Hang up.

Basic Phone and Phone Mail Tips

1.  How do I stop my phone from ringing when I am having a meeting or working on something
     important?
   Pick up your receiver and hit #5.  To remove this option, pick up your receiver and hit ##5.

2.  How do I forward my extension to another phone?
    To forward your phone to another extension pick up the receiver and hit #9 and enter the number you

     would like to transfer your phone to.  To remove this option, pick up the receiver and hit ##9.

3.  How can I change the ring tone on my phone?
    Pick up your receiver and hit *572.  Press buttons 1 through 9 on your phone to listen to the different

     tones.  The last button you press before you hang up will be the ring tone that stays on your phone.

    This is helpful if there are several phones in an office an you cannot tell which one is ringing.

4.  How do I set up a conference call?

    1. Get the first caller on the line.
    2. Press the flash key.
    3. Dial the next extension.
    4. Inform the called party that this is a conference call.
    5. Press the CONF key to join all the parties.

    ***To add another party , repeat steps 2 through 4.

5.  Which key do I use for the letters Q and Z?
    For the letter Q press the number 7.

    For the letter Z press the number 9.
